The What, Why, and How of Accessible Documents
What is an accessible document?
Just like your website, any material you provide for your customers must be compliant with ADA laws and Web Content Accessibility Guidelines (WCAG). This means all images should have alt text or be marked decorative, you need sufficient color contrast, proper heading structure, functional links and buttons, tagging in a logical reading order, accurate table and list formating, and more. Every document you make available to the public must be compatible with screen readers and keyboard navigable.
What accessibility standards should I meet?
If you work with Access Designs I will ensure you are WCAG 2.1 and 2.2 conformant and section 508 compliant. In addition I follow the best practices for accessibility in Word and PowerPoint.
Why do I have to make my documents accessible?
It’s the law, and it is the morally right thing to do. Building a brand that promotes inclusivity for those with vision, cognitive, hearing, mobility, and other disabilities will drive change and a positive brand identity.
What type of files can you remediate?
I am able to remediate all types of files including PDFs, DOC(x), PPTs, XLSS and more (Word and Google).
Will my files look different once remediated?
Generally no. In most cases the adjustments made to your files will not impact the appearance at all. In rare situations I may reccomend changing some content, but that would be discussed and approved by you before any changes are made.
How do you tests documents for accessibility?
I start every document audit with an automated accessibility checker, either PAC (for PDFs) or built-in accessibility tools in Word or PowerPoint. I use that data when I start manual testing. I use screen readers like JAWS, NVDA, and Voice Over, along with keyboard testing to make sure every element of your document is accessible and compatible with assistive technology. After compiling the data I start remediations to create accessible documents for you.
How much does it cost to create accessible documents?
The cost of remediations depends on the number of pages and/or the complexity of the content. On average costs will range from $5 - $25 per page.
